Importance of a Secretariat

In our Parish, there are organizations that support the priest in building our church. Each organization has its set of elected officers who represent the group. Among these organizations, the PPC or Parish Pastoral Council is the core. In our Parish, officers were elected but the parish priest added different coordinators of different sectors in the parish.

A Secretariat was also created; this is where I was assigned. I did not receive any TOR so I tried to learn myself the function of my office. I gathered that it should make information available and provide advice to the organization, as well as take note of important management of the organisation. Its functions should be::

(a) To arrange for and service meetings of the PPC or as provided for in the PPC constitution;

(b) To perform the functions assigned to it by any protocol;

(c) To prepare reports on the execution of its functions under the PPC and present them to the meetings if required; and

(d) to perform such other functions as may be determined by the PPC.

Since I have no TOR in our own Secretariat, I am wondering what I should do. The only thing I know is that I have signified my willingness to carry out the secretariat functions under the PPC.
